Responsibilities:
- Greet and welcome clients in a warm and professional manner.
- Manage client appointments, including scheduling, rescheduling, and confirming bookings.
- Answer phone calls, respond to emails/WhatsApp, and handle client inquiries promptly and courteously.
- Maintain client records and ensure accurate data entry into the clinic’s management system.
- Process payments, manage invoices, and handle other billing-related tasks.
- Assist with administrative duties such as filing, photocopying, and ordering office supplies.
- Coordinate with staff to ensure seamless service delivery and client satisfaction.
- Maintain a clean and organized reception area.
- Assist with marketing and promotional activities as needed.
- Handle any other duties as assigned by the management.
Qualifications:
- High school diploma or equivalent; additional qualifications in office administration are a plus.
- Proven experience as a receptionist, administrative assistant, or in a similar role, preferably in a beauty clinic.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite and familiarity with scheduling and management software.
- Strong organizational skills and attention to detail.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Friendly and professional demeanor with strong customer service skills.
- Well-groomed and professional appearance.
- Ability to work flexible hours, including evenings and weekends if required.
