Job Description:
As the Personal Assistant to the Director, you will play a crucial role in ensuring the smooth operation of the Director’s day-to-day activities. You will be responsible for managing their schedule, coordinating meetings, handling correspondence, and performing various administrative tasks. Your ability to anticipate the Director’s needs and provide efficient support will be key to the success of this role.
Key Responsibilities:
Manage and organize the Director’s calendar, including scheduling meetings, appointments, and travel arrangements.
Screen and manage phone calls, emails, and other forms of communication.
Prepare and edit documents, presentations, and reports as required.
Coordinate and arrange meetings, including preparing agendas, taking minutes, and following up on action items.
Handle confidential information with discretion and maintain the highest level of professionalism.
Assist with personal tasks and errands as needed to support the Director’s busy lifestyle.
Liaise with internal and external stakeholders on behalf of the Director.
Conduct research and compile information to assist with decision-making and project planning.
Ensure the Director is well-prepared for meetings and events by providing necessary materials and briefings.
Assist with special projects and any other tasks as assigned by the Director.
Requirements:
Proven experience as a Personal Assistant, Executive Assistant, or in a similar role.
Exceptional organizational and time-management skills.
Excellent written and verbal communication abilities.
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to multitask and prioritize effectively in a fast-paced environment.
High level of discretion and confidentiality.
Strong attention to detail and problem-solving skills.
Professional demeanor and a proactive attitude.
Bachelor’s degree in Business Administration, Management, or a related field is preferred.
Preferred Qualifications:
Experience working in a corporate environment.
Familiarity with project management tools and software.
Knowledge of basic accounting and financial principles.
