Position Overview:
We are seeking a dedicated and organized Administrative Assistant to join our music education/tutoring institution. The ideal candidate will be responsible for providing administrative support to ensure the smooth operation of the institution, facilitating communication between students, parents, and instructors, and managing various organizational tasks. This role requires excellent communication skills, a keen attention to detail, and a passion for music education.
Key Responsibilities:
Administrative Support:
Manage day-to-day administrative tasks including answering phone calls, responding to emails, and handling inquiries from students, parents, and staff.
Maintain and update student records, including registration, attendance, and payment information.
Schedule lessons, classes, and events, ensuring optimal use of facilities and instructors' time.
Communication:
Serve as the primary point of contact for parents and students, providing information about programs, schedules, and policies.
Coordinate and disseminate information regarding upcoming events, recitals, and other activities.
Handle complaints and feedback professionally and escalate issues to management as needed.
Financial Administration:
Process tuition payments, issue invoices, and manage billing inquiries.
Track and reconcile financial transactions, ensuring accuracy and timeliness.
Assist in budgeting and financial planning activities as required.
Event Coordination:
Assist in organizing and coordinating recitals, concerts, and other events.
Handle logistics such as venue booking, equipment setup, and promotional materials.
Support event registration and attendance tracking.
Office Management:
Order and manage office supplies, ensuring necessary materials are available for staff and instructors.
Maintain a clean and organized office environment.
Coordinate maintenance and repairs of office equipment and facilities.
Requirements:
Skills and Abilities:
Excellent verbal and written communication skills.
Strong organizational skills and attention to detail.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with administrative software.
Ability to multitask and prioritize tasks effectively.
Personal Attributes:
Friendly and approachable demeanor with a passion for working in a music education environment.
Ability to work independently and as part of a team.
Reliable and punctual with a strong work ethic.
Additional Requirements:
Basic understanding of music and musical terminology is a plus.
Ability to work flexible hours, including evenings and weekends, as required by the institution’s schedule.
